eduPay Privacy Statement

This page explains how the Victorian Department of Education's payroll system handles your personal information.

Employee Self Service and eduPay Privacy Statement eduPay is the Department of Education (DE) primary computerised data record and management system for Human Resources related information and records for all employees.

Employee Self Service is a component of the eduPay system which contains confidential personal information about department employees that must be handled in accordance with the Information Privacy Principles.

Access to or use of this data is subject to compliance with the department's privacy policy. The policy may be read at: Information Privacy Policy

Collection of data from the employee via forms such as the Superannuation Choice of Fund form and other data collected through the Employee Self Service system is used primarily to ensure correct payment and entitlements. The department will not pass on information to third parties other than to supply information to approved organisations to comply with payroll and legislative requirements. As well as the Australian Taxation Office (ATO), the department has engaged Aware Super and its associated companies SuperChoice and PayClear to act as a Clearing House for superannuation data on its behalf. This means that Aware Super processes superannuation payments on behalf of the department, no matter which superannuation fund employees use, and shares superannuation payment data with the ATO. Further information about the Clearing House function can be found at: SuperStream - Updating Choice of Superannuation(opens in a new window).

The data collected may also be used to comply with departmental statistical and reporting obligations or transferred to supporting systems such as taxation and superannuation systems which support the delivery of a complete payroll service and comply with legislation.

As part of the department's reporting responsibilities, diversity/ethnicity information may be collected. If an employee chooses to provide data it will be aggregated and individual information will not be distinguishable in reports. This information will not be used for any other purpose.

Data from eduPay is also utilised for system testing to ensure that the payroll correctly calculates payments and entitlements for all department employees.
